Your Phone System Has Passwords Too. They Matter.

May 20, 2026– By Denise Babcock, Government Growth Specialist

When we talk about cybersecurity, email usually steals the spotlight. Strong passwords. Multi‑factor authentication. Don’t click the weird links.

But there’s another system quietly sitting on your network that often gets overlooked.

Your phones.

If your organization uses VoIP phone service, those phones are not just phones anymore. They are networked devices, managed online, and protected or exposed by the same password habits as everything else.

VoIP Is Part of Your IT Environment

Modern phone systems live in the cloud. They connect to your network and are managed through online portals. Those portals control call routing, voicemail, extensions, after‑hours rules, and more.

If an account is protected by a weak password, or worse, a default password, it becomes an easy target.

Attackers are not just looking for email access. They also look for phone systems they can get into quietly. Once inside, they can reroute calls, listen to voicemail, place fraudulent calls, or disrupt service entirely.

Voicemail Is Not Harmless

Voicemail tends to be the most forgotten piece of security. Many people still use short PINs that never change, or they skip setting one up at all.

Voicemails often include sensitive information like internal phone numbers, meeting details, or messages from residents, vendors, or staff. Treating voicemail PINs like real passwords is a simple step that makes a meaningful difference.

The Same Rules Apply

The good news is that VoIP security does not require reinventing the wheel. The same best practices you already use for email should apply to your phone system:

  • Strong, unique passwords

  • No shared logins

  • No default credentials

  • Multi‑factor authentication when available

  • Regular review of access when staff change roles or leave

Security works best when it is consistent across all systems, not just the ones we think of as high risk.

Why This Matters More Than You Think

Compromised phone systems can lead to unexpected charges, service outages, and confusion for staff and residents. In government environments, they can also impact daily operations and public trust.

Most of these issues are preventable with good setup, good habits, and a little attention to areas that are easy to forget.

One Security Mindset, All the Way Across

Your phone system deserves the same care as your email and file access. When every login point is protected, your organization is stronger, more reliable, and better prepared.

At Sprinter, we believe security should be built in from the start, not added after something goes wrong. That includes your VoIP phones.

If you are not sure how your phones are secured or just want to talk about your VoIP setup, give us a call. We are always happy to walk through it with you.
